Getting started for employees via Payroll Work

The Work feature in the Swag app allows you to seamlessly manage your leave requests, roster and shift requests, see your timesheets and payslips, and clock in and out all from one place. You can also use the Work feature to manage your schedule and see what's open when.

Accessing Swag
  1. Search Swag in the App Store for iPhone users, or the Google Play Store for Android users, or click the following based on your device:
    iOS/iPhone
    Android
  2. Open the app and log in using the same email and password you use for your payroll log in.

  3. If you have forgotten your log-in details, tap Email me a magic login link which will send you an email to your registered email address.

  4. You will be asked to set up a passcode for easy login next time.

The dashboard
  1. Open the Swag app and log in using the same credentials you use for your payroll log in.
  2. Tap on the Work icon.

  3. When you open the Swag app and tap on the yellow Work icon, you will see the Work home screen.

  • Roster and shift dates
  • Clock in/out button (if you have set the Clock in/out feature in Swag for your employees)
  • Leave allowances and requests
  • Profile/employee files view.

Each of these views can be tapped to provide instant access to the various functions of the app, or you can use the function bar across the top of the Home screen to select: Payslips, Leave, Timesheets, Expense, Rosters or Unavailability.

There is also the option to access your profile details by tapping on your profile icon in the top right-hand corner. This will lead to other options such as bank details and other organisation log-in options.

To return to the Home view at any point, tap Home or the house icon.

My profile
  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. This takes you to My Profile view.

  5. Each time you open this you will be prompted, if set up, to provide feedback to your organisation on how you found work this week.

  6. From here you can access several functions:
  • Edit profile photo
  • Add account
  • Organisations
  • My details
  • P60s
  • P11Ds
  • Bank accounts
  • Emergency contacts
  • Other documents
  • or log out
Profile switcher
In payroll, it is possible for 1 employee (using 1 email address) to have multiple employee profiles created in an organisation. This includes:
  • Multiple profiles in the same organisation
  • Multiple profiles across locations
  • Multiple profiles that include active and inactive accounts

Accessing the profile switcher

  1. Log into the Swag app. 
  2. Tap on the Work icon.

  3. Tap on your profile picture in the top right-hand side of the screen.

  4. Tap on Switch/Add Account.

  5. Enter the email address and password of your additional account.

  6. You have now logged into your additional account.

Switching between profiles

  1. Log into the Swag app. 
  2. Tap on the Work icon.

  4. Tap on Switch/Add Account.

  6. Log in to your additional account/s.

Profile photo
  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. In the Employee Files view, tap on the camera icon by your profile photo.

  5. You can then choose to change your profile photo by taking a new photo with your phone camera or selecting one from your photo library.

  6. Choose the file you wish to use. 
  7. Your profile will automatically update with your selected photo.
Organisations
  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  3. On the Work home screen, tap on the organisation name.

  4. Tap on the organisation that you wish to view.

My details
  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. Select My Details.

    Important

    You are only able to view your personal details in Swag. If you wish to edit these, contact your payroll administrator.

P60s
  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. Select P60s.

  5. Tap on the year that you wish to view.

  6. Here you will see your P60 for your selected year. If you would like to share this document, tap Share.

P11Ds
  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  6. Here you will see your P11D for your selected year. If you would like to share this document, tap Share.

Bank accounts

Important

You are only able to view your bank account details here. If you wish to edit your bank account details, you will need to do so in your payroll web platform.

  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. Select Bank Accounts.

  5. You will see any bank accounts you are paid into, and view how much is paid into each.

Emergency contacts
  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. Select Emergency Contacts.

  5. You will see details for your Primary and Secondary Emergency Contacts.
  6. Tap Edit if you wish to edit these.

  7. After you have made your edits, tap Save.

Qualifications

Important

Please note that you are not able to add new qualifications via Swag. You will need to add a new qualification via your web platform. You can edit and delete existing qualifications in the Swag app.

  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. Tap on Qualifications.

  5. Tap on the qualification that you wish to view.

  6. You can view and edit details of your qualifications here.
  7. If you make any edits, tap Save.

Delete qualifications

  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. Tap on Qualifications.

  5. Tap on the qualification that you wish to view.

  6. Tap on Delete.

  7. Tap on Yes, Delete to confirm deletion of the qualification.

Other documents

Helpful Hint

Please note that you are not able to add new documents via Swag. You will need to add a new document via your payroll web platform.

  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. Select Other Documents.

  5. Here you can view documents your manager may want you to review.
  6. Select to view.

  7. Tap Share if you want to email or share with a colleague.

Settings

Turn on Face ID

  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. Tap on Settings.

  5. If you would like to enable Face ID when logging into your Swag account, ensure that the toggle is in the on position (switch toggled to the right).

  6. You will be asked to enter your passcode (if you have set one up).

  7. Face ID will be activated for Swag.

Turn off Face ID

  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. Tap on Settings.

  5. If you would like to disable Face ID, ensure that the toggle is in the off position (switch toggled to the left).

  6. You will be asked to enter your passcode (if you have set one up).

  7. Face ID will be disabled for Swag.

Delete your account

Important

Please note that users are not able to delete their own accounts in Swag. Read on to find out how to begin this process.

  1. Log into the Swag app on your Android or iOS device.
  2. Tap on the Work icon.

  4. Tap on Settings.

  5. Tap on Delete Account.

  6. Read the information on how to begin an account deletion, then tap I understand.
