How do I use Hero AI as an employer via Work

Hero AI is a chatbot designed to streamline the access and understanding of policy documents and HR enquiries for employees. Using state-of-the-art Natural Language Processing (NLP) technologies, Hero AI offers a robust Q&A interface that transforms complex policy documents and HR enquiries into easily searchable and understandable formats in the Swag app. 

This article will answer some frequently asked questions for Hero AI, and show an employer, manager or admin how to use Hero AI.

How to use Hero AI

How to upload policy documents
You will need to upload policy documents to your HR web platform for Hero AI to be able to work correctly.
  1. Navigate to your HR web platform.
  2. Click on Compliance. 
  3. Click on Policy Management.
  4. Follow the prompts to upload policy documents or add policies from existing templates. 
Ask policy and HR questions with Hero AI
    1. Log into the Swag app.
    2. Tap on the Work icon.

    3. Tap on the plus icon in the bottom right-hand side of the screen or the Ask Hero AI tile at the top of the screen.

    4. Tap on Ask Hero AI in the Policies section of Work.

    5. Type in your policy question and click the highlighted send button.

    6. Read the disclaimer and tap Done.

    7. Hero AI will then provide the response. 
    8. Rate the response with the thumbs up or thumbs down at the bottom of the screen to help Hero AI with the accuracy of and efficacy with its responses. 

Frequently asked questions

What kind of policy information will I see?

Hero AI does not maintain any kind of context of the user (i.e. which region the user is in, or if the user is a manager or employee). Instead, access controls is determined based on their permissions to view policies.

If an organisation has set up policies in a way that allows UK users to view UK-related policies and AU users to view AU-related policies, then Hero AI will also adhere to this access control.

How does Hero AI work?

We use a Large Language Model (LLM) to process your organisation's policies so that we can give a reply to your employees. Hero AI will also provide generalised HR and work advice. 

What types of questions can I ask Hero AI?

Hero AI searches through your company's policy documents and provides general HR advice. Some example questions you can ask Hero AI are:

  • How is long service leave calculated?
  • How can I improve my leadership skills?
  • What is my company's parental leave policy?
  • What makes an effective 1:1 meeting with my manager?
  • What is my company's work from home policy?
Does my company have to upload policy information to Hero AI?

Yes. If your company has not uploaded the policy information, you will receive the below message:

I’m designed to answer questions about your organisation’s policies. Currently, I cannot find any policies for your organisation. Please contact your admin to add relevant policies.

If anything if missing from Hero AI that you feel is needed, please contact your administrator. 

Where is the company policy information stored?
Your company's policy information is stored in your HR portal, and no third-party storage apps are used.
